Who is responsible

The waitlist

If you give us your email address, we store four things: the address itself, the IP address the request came from, the exact sentence you agreed to, and the times you signed up, confirmed and — if you do — unsubscribed.

The sentence you agreed to is currently: “I agree to receive email from RECORD when an edition opens. I can unsubscribe at any time using the link in any email.” We store the wording and its version rather than a yes/no, so that what you agreed to is a matter of record and not of memory.

The IP address is kept because it is evidence that a real request was made, and because it lets us stop the form being used to mail somebody repeatedly who never asked.

Our lawful basis is your consent, and nothing is sent until you confirm by opening a link we email you. An address that is never confirmed is never mailed again.

Buying a poster

Checkout is handled by Shopify, who take your payment and delivery details under their own privacy policy. We never see your card.

Choosing a delivery country stores one cookie, record_ship_to, so the site can price in the right currency when you come back. It holds a country code and nothing else.

The name and finish time you put on a poster are used to print that poster.

What we do not do

There is no analytics on this site, no tracking pixels, and no advertising. Visiting a page sets no cookies at all.

We do not sell or share your address with anyone, and we do not use it to build a profile of you.

How long we keep it

  • An address that is never confirmed is deleted after 30 days, automatically and every night.
  • A confirmed address is kept for 24 months after we last hear from you — a link you follow from one of our emails, or an order you place — and then deleted.
  • If you unsubscribe, we stop mailing you immediately and keep only the record that you asked us to stop, so that we do not mail you again by accident.
  • If you ask us to delete you, we delete you.

Who else handles it

We use a small number of services to run the site, and each of them handles some of this data on our instructions:

  • Vercel — hosting
  • Neon — the database the waitlist is stored in
  • Resend — sending the confirmation and announcement emails
  • ImprovMX — forwarding mail sent to hello@record.ink
  • Shopify — checkout and payment, if you buy something

All of them process data in the United States. If you are in the UK or the EU, that means your information is transferred outside it.

Your rights

If you are in the UK or the EU you have the right to ask what we hold about you, to have it corrected, to have it deleted, to object to or restrict what we do with it, and to receive a copy in a portable form. You can withdraw your consent at any time, and doing so does not affect anything done before you did.

Every email we send carries an unsubscribe link that works in one click and needs no reply from us. For anything else, write to hello@record.ink and we will do it.

If you think we have handled your information badly, you can complain to your data protection authority — in the UK, the Information Commissioner’s Office.

Changes

If this notice changes in a way that affects what we do with information already given to us, we will email the people it affects rather than quietly changing the page.
